  1. What is CapeNature’s policy on the replacement of assets such as (a) mattresses, (b) towels, (c) linen and (d) curtains that are used in tourism accommodation;
  1. (a) who is responsible for the implementation of this policy and (b) which staff members have the right to write off such assets when they are found to be not of the high standard that paying guests expect;
  1. (a) what is the process to dispose of these assets, once withdrawn from tourist facilities, and (b) how frequently is the disposal process invoked?
Answer Body: 
  1. (a) Mattresses are replaced according to CapeNature’s asset disposal process. Relevant staff are required to identify which mattresses need to be disposed including the reason for disposal. The Asset Management team will prepare the disposal submission for sign off by relevant senior management so that the asset can be removed from the fixed asset register.

(1) (b) (c) and (d) Towels, linen and curtains are not classified as assets. These items are checked on a regular basis to assess its condition which informs the decision whether or not to replace it.

  1. (a) Tourism Liaison Officers, in consultation with supervisors and management, are responsible for the implementation of the policy.

(b) Tourism Liaison Officers in liaison with the Assets Finance Officer and Conservation Manager, are responsible for writing off assets. Formal documentation must be completed and signed off by the Conservation Manager. 

  1. (a) The Tourism Liaison Officer(s) identifies stock which needs to be disposed. A disposal form with the asset details and reason for disposal is completed. This will be signed by the Tourism Liaison Officers and Conservation Manager.  He/she contacts the Assets Finance Officer with the disposal form and accompanying pictures of the asset. The Asset Management Unit will prepare the disposal submission to be signed off by Senior Management, including the CEO, so that the asset can be taken off the fixed asset register. 

The Tourism Liaison Officer(s) completes the donation form (if applicable), and the necessary manager/s sign off on the process. The Conservation Manager identifies a community or project for donation.

(b) The disposal process is invoked on bi-annual basis after the asset verification process.
